Yealink phone setup guide

How to assemble and connect Yealink T Series, W Series, and Conference Series phones, plus common software setup.

1. Yealink T Series (desktop IP phones)

Models: T31P, T31W, T33G, T34W, T73W

The T Series are traditional desk phones that require assembly of the stand and handset.

Hardware assembly

  1. Attach the stand: Insert the stand into the slots on the back of the phone. Most models have two angles, high or low, depending on how you slot them in.

  2. Connect the handset: Plug the coiled cord into the port labelled with a handset icon and the other end into the handset itself.

  3. Power and network:

    • Option A (PoE): If your office switch supports Power over Ethernet, plug an Ethernet cable from the wall or switch into the Internet port. No power brick is needed.

    • Option B (Power adapter): If you don't have PoE, plug the 5V power adapter into the wall and the phone, then connect the Ethernet cable to the Internet port.

  4. PC connection (optional): You can daisy-chain your computer by plugging a second Ethernet cable from the phone's PC port to your computer.

Wi-Fi models: The T31W, T34W and T73W have built-in Wi-Fi, so you can connect them to your wireless network instead of running an Ethernet cable to the desk.

2. Yealink W Series (wireless DECT)

Bundles: W71P, W73P, W74P, W78P (base station + handset) · Additional handsets: W71H, W73H, W74H, W78H

These systems consist of a base station (the brain) and a handset (the phone).

Step 1: Base station setup

  1. Connect the Ethernet cable from your router or switch to the base station.

  2. Power the base using the included AC adapter, unless you are using PoE.

  3. Wait for the green lights to stabilise. The Network LED (globe icon) should be solid green.

Step 2: Handset setup

  1. Insert the battery into the back of the handset.

  2. Plug the charging cradle into a power outlet and place the handset in it to charge.

Step 3: Pairing (registration)

If the handset displays "Unregistered", follow these steps:

  1. On the base: Long-press the Paging button (the only button on the front) for about 3 seconds until the top LED flashes.

  2. On the handset: Press the Reg soft key. It will search and find the base.

  3. PIN: If prompted, the default PIN is 0000.

3. Yealink Wi-Fi cordless handsets

Models: AX83H, AX86R

These handsets connect straight to your Wi-Fi network and do not need a base station. The AX86R is the rugged model, designed for trades, warehouses and outdoor work.

  1. Insert the battery and charge the handset in its cradle.

  2. On the handset, open Settings, then Wi-Fi, and select your network.

  3. Enter your Wi-Fi password and wait for the handset to connect.

4. Yealink Conference Series

Models: CP920, CP925, CP965

If you already have a CP Series conference unit, these are the steps to connect it. These units are designed for boardrooms and often feature touchscreens.

Hardware connection

  1. Connect the Ethernet cable to the Internet port on the bottom of the unit.

  2. If not using PoE, connect the power adapter to the designated port.

  3. Wireless expansion (CPW90): Wireless microphones usually come pre-paired. If not, enable Bluetooth or DECT on the main unit and long-press the mute button on the microphones to pair them.

Common software configuration (all series)

Once the hardware is powered and connected to the internet, you may need to log in to the web interface to enter your VoIP provider details.

  1. Find the IP address:

    • T Series: Press the OK button.

    • W Series: Press OK on the handset, then Status, then Base.

    • CP Series: Swipe down from the top or go to Settings, then Status.

  2. Access the web portal: Type the IP address into a browser on a computer connected to the same network.

  3. Log in: The default username and password are both admin.

Please note: If your company uses auto-provisioning, you may not need to complete any software setup. Just plug the phone in and it will download its configuration automatically.
