How to Assign Multiple Phone Numbers to a User in MYbOnline

You can now assign up to three phone numbers to a single user in MYbOnline. This is ideal if a team member needs to answer calls for more than one line, for example, a manager covering both a personal extension and a department number, without losing access to numbers they already have.

  • Go to the Phone Numbers Page From your MYbOnline dashboard

  • Select Phone Numbers from the left-hand menu.

Here you'll see all your numbers and which user (if any) each one is assigned to.


Assign a Number to a User

To give a user an additional number:

  • Select the number you want to assign, then choose Assign new phone number.

  • Open the User dropdown and select the user you want to assign it to.

  • Click Assign to confirm.


Important: Assigning a new number to a user does not remove any number they already have. The new number is simply added to their list, up to a maximum of three.


Understanding the User Limit

Each user can hold a maximum of three numbers.

  • In the User dropdown, any user who already has three numbers assigned will appear greyed out, with a note next to their name letting you know they've reached the limit.

  • To assign a new number to that user, you'll first need to unassign one of their existing numbers.

View a User's Numbers on the Users Page

From your MYbOnline dashboard:

  • Select Users and Devices from the left-hand menu.

  • Under the Users tab, each user's card now clearly displays all of the numbers assigned to them.

  • If a user doesn't have a number in one of their number slots, you'll see No number assigned shown in its place.

Edit a User's Numbers

Number management has moved to one simple place:

  • On a user's card, select the three-dot menu.

  • Select Edit numbers.

  • You'll be taken straight to the Phone Numbers page, where you can assign, reassign, or unassign numbers for that user.
